What does an AI coach for real estate agents do?

AI coaching can help an agent apply tools to tasks such as drafting content, preparing client communication or organising information. The term does not tell you whether the provider also connects software, installs automations or maintains the finished system. Ask for the scope in writing. A demonstration, a guided build and a managed installation involve different responsibilities.

For lead follow-up, a useful scope names the lead source, the CRM, the approved response, the person responsible for replies and the conditions that stop the sequence. That is specific enough to review before buying. A promise to make your business more efficient is not.

What should a working system demonstrate?

Ask to see the ordinary case and the exceptions. A booking sequence should handle a reply, an opt-out, a changed appointment and a missing time zone. A listing-content system should keep source facts separate from generated wording and stop when required details are missing.

The test is whether the process behaves correctly when the input changes. A polished screenshot only shows one output. Request a documented test, a named owner and a way to pause the system. The right level of automation depends on the task and on what a mistake would affect.

What does system ownership mean?

Ownership needs a written inventory: accounts, workflow files, prompts, documentation and any custom code included in the engagement. Ask what you can export, what another provider could maintain, and which subscriptions remain necessary. Owning a workflow does not mean owning the third-party software it uses.

Also establish who can change access, approve a release and recover a failed process. These questions matter when a team member leaves or a software provider changes its product. A handover should leave you able to explain how the system runs and who is responsible for it.

Questions to ask before choosing a provider

Do I need to replace my CRM? Not automatically. First check whether the existing CRM can supply the records, permissions and integrations the proposed process needs.

Can AI take responsibility for my real estate advice? No. Keep professional decisions, client commitments and brokerage approvals with the responsible people. Define those review points in the process.

Can a provider guarantee an AI search recommendation? Search inclusion and recommendations are controlled by the search platforms. Ask for the exact query, date, sources and limitations behind any result a provider presents.

What should I bring to a first call? One recurring process, the tools it uses, an example of where it breaks and the person who owns it. Remove private client information from examples unless there is an appropriate authorised process for sharing it.
